1. Introduction
Welcome to Teamstays. These Terms of Service ("Terms") govern your access to and use of the Teamstays platform, website, and services (collectively, the "Platform"). By creating an account or using our Platform, you agree to be bound by these Terms.
Teamstays Ltd ("Teamstays", "we", "us", or "our") operates a platform that connects businesses seeking accommodation for their workforce ("Tenants") with property owners and managers offering accommodation ("Hosts").
2. Definitions
- "Tenant" means a business or individual using the Platform to find and book accommodation for workers.
- "Host" means an accommodation provider listing properties on the Platform.
- "Accommodation Request" means a Tenant's submission detailing their accommodation requirements.
- "Offer" means a Host's proposal to provide accommodation in response to a Tenant's request.
- "Booking" means a confirmed agreement between a Tenant and Host for accommodation services.
- "Property" means any accommodation listed on the Platform by a Host.
- "User" means any person who accesses or uses the Platform.
3. Account Registration and Verification
Eligibility
- Be at least 18 years of age
- Have the legal authority to enter into contracts
- Provide accurate, current, and complete registration information
- Maintain the security of your account credentials
Identity Verification
- Valid photo identification (passport, driving licence, or national ID card)
- Proof of current address (utility bill, bank statement, or council tax bill)
- For registered companies: Companies House registration verification
- For Hosts: relevant property licences where required (e.g., HMO licence)
4. Tenant Obligations
- Provide Accurate Information: Submit truthful accommodation requests.
- Legitimate Business Use: Use accommodation for stated business activities.
- Worker Responsibility: Ensure workers comply with property rules.
- Timely Communication: Respond promptly to offers.
- Payment Obligations: Pay all invoices by their due dates.
- Property Care: Maintain the property in good condition.
5. Host Obligations
- Accurate Property Listings: Provide truthful descriptions, images, and amenity information.
- Legal Compliance: Comply with planning regulations, safety standards, and licensing requirements.
- Availability Confirmation: Only submit offers for dates when the property is available.
- Property Standards: Maintain properties to a clean, safe, and habitable standard.
- Insurance: Maintain appropriate property and liability insurance.
- Tax Compliance: Comply with all tax obligations related to rental income.
6. Booking Process
- Request Submission: Tenants submit accommodation requests.
- Property Matching: Our system identifies suitable properties.
- Offer Submission: Hosts may submit offers with pricing and terms.
- Offer Selection: Tenants review and select offers.
- Provider Confirmation: Hosts confirm acceptance.
- Booking Confirmed: Once confirmed by both parties, the booking is binding.
7. Payment Terms
Deposit
A deposit of 25% of the total booking value is required, included in the first invoice, refundable subject to our cancellation policy.
Invoicing
- Invoices issued for 30-day periods
- Tenants receive 21 days advance notice before each invoice is due
- All payments are processed via bank transfer
8. Cancellation Policy
The default cancellation notice period is 14 days. Cancellations made 14 or more days before check-in receive a full refund. Later cancellations forfeit the deposit. Custom cancellation terms may be specified in a Host's offer and will be clearly displayed during checkout.
If a Host cancels a confirmed booking, the Tenant receives a full refund and Teamstays will endeavour to find alternative accommodation.
9. Property Standards and Safety
- Cleanliness: Properties must be professionally cleaned before each guest arrival.
- Safety Equipment: Working smoke alarms, CO detectors, and fire extinguishers must be provided.
- Amenities: All advertised amenities must be available and in working order.
- Compliance: Properties must comply with all health and safety regulations.
10. Disputes and Resolution
In the event of a dispute between a Tenant and Host, parties should first attempt to resolve the issue directly. If direct resolution fails, either party may request Teamstays to mediate. Both parties agree to accept our determination as final regarding Platform-related remedies.
11. Liability Limitations
Teamstays operates as an intermediary platform. We do not own, manage, or control any properties listed and are not a party to any accommodation agreement. To the maximum extent permitted by law, our total liability shall not exceed the fees you have paid to Teamstays in the 12 months preceding the claim.
12. Intellectual Property
All content, trademarks, and intellectual property on the Platform belong to Teamstays or our licensors. You may not copy, modify, or distribute any Platform content without our written permission, or scrape or systematically extract content from the Platform.
13. Termination
You may close your account at any time by contacting us. We may suspend or terminate accounts that breach these Terms, provide false information, engage in fraudulent conduct, fail identity verification, or fail to pay invoices. Outstanding payment obligations survive termination.
14. Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales, with disputes subject to the exclusive jurisdiction of the courts of England and Wales.
15. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by posting the updated Terms on the Platform and updating the "Last updated" date.
